POS for Retail Stores in Hong Kong: Keeping the Shelf, the Till and the Books in Step

It's the last Saturday of the month. Salaries have landed, the shop is full and two cashiers are working flat out. Someone wants to return a bottle of cooking oil, a supplier is at the back door with bread, and a regular is asking whether you still have the size 40 school shoes they saw last week. You think so. The stock book says six pairs. The shelf says otherwise.

If that sounds familiar, you don't have a staffing problem. You have a records problem, and it's the kind a decent POS fixes.

The short answer: a retail POS earns its place by doing four things well. It keeps the stock count in line with the shelf, makes checkout fast without opening the door to quiet discounts, gives you one view across your branches and store room, and puts sales, purchases and expenses into your books as they happen. EliteTeQ does this for supermarkets, minimarts, clothing shops, cosmetics shops and general stores in Hong Kong, from USD 499 per year, and it keeps selling when the internet drops.

Where retail money actually goes missing

It's rarely one dramatic theft. It's small leaks that a busy shop can't see:

  • A delivery comes in short and nobody checks it against the order.
  • A cashier gives a "small discount" to a friend, or voids a sale after the customer has paid.
  • A customer return goes back on the shelf but never back into the count.
  • A damaged carton is thrown out without being written off, so the notebook still thinks it's there.
  • One branch runs out of something another branch has been sitting on for a month.

Each one is minor. Together they're why your stock-take never matches and your profit feels lower than your sales suggest.

What a POS changes, one leak at a time

Every movement moves the count

In EliteTeQ, stock changes whenever something is recorded: a sale, a delivery, a customer return, a return to the supplier, a damaged item written off with a reason. That's the whole trick. When every movement goes through the system, the number on screen stays close to the number on the shelf, and the stock-take becomes a check rather than a shock.

Low-stock alerts warn you before the bestsellers run out. The product movement report shows the trail for any item: when it arrived, who sold it, what came back and what was written off. When a count is off, you can see where it went wrong instead of guessing.

Checkout that's quick and accountable

Scanning a barcode beats typing prices from memory, especially at month-end. Speed isn't the only point, though. Each cashier has their own login and role, and you decide who can give a discount and how much. Price changes, discounts, voids and returns are all logged with a name and a time.

You won't catch everything. You will remove most of the easy opportunities, and your staff will know it.

Branches and the store room in one view

If you run more than one shop, or a warehouse that feeds the shop floor, each location keeps its own live count. Stock sent between them is recorded when it leaves, and the receiving branch confirms what arrived. If six cartons left and five arrived, the difference shows straight away, not three weeks later.

You can also check every branch from your phone, which matters if you spend half your week in traffic or at suppliers.

Suppliers and customers on credit

Retail isn't all cash on the counter. You buy on credit from suppliers and sometimes sell on credit to a school, an office or a reliable regular. EliteTeQ keeps purchases, purchase returns and customer credit next to your sales, with balances and due dates. Goods you send back come straight off the supplier's balance.

Books that keep up

Sales, purchases and expenses post to your accounts as they happen. Profit by product, by branch and by day is there before you lock up, not whenever the accountant gets round to your receipts. Your sales records are kept ready for IRD as well.

Power cuts and patchy internet

The network tends to drop at the worst moment, and a generator buys you light but not always a connection. EliteTeQ keeps selling offline and syncs when the connection returns, so the queue doesn't stop because the router did.

For payments, EliteTeQ records Octopus, card and cash against each sale, so end-of-day totals reconcile by method. In Kenya, M-Pesa is integrated directly through STK Push and Till Number.

Switching without closing the shop

Changing systems sounds disruptive when you're open seven days a week. It doesn't need to be.

1. Get your product list in first. Items, prices and barcodes. Setup and product import are free, and this is the part that takes the most time, so it's done before you go live. 2. Train on a quiet morning. Scanning, payments, returns and the end-of-day close. Most cashiers find it simpler than the notebook. 3. Run both for a few days. Use the POS for real sales, keep the old method as a backup and compare the totals at close. 4. Drop the notebook once the numbers agree and the team is comfortable.

Then do your first proper stock-take on the system. That's usually when owners finally see where the old leaks were.

Is it a fit for your shop?

If you sell from shelves, whether that's groceries, clothes, cosmetics, household goods or a bit of everything, and you've ever said "the book says one thing and the shelf says another", it's worth a look.
