POS for Electronics Wholesalers in Malaysia: Every Unit, Every Price Level, Every Branch

A retailer you supply comes back with a phone that won't charge. They swear they bought it from you three weeks ago, under warranty. You're fairly sure that model came from another distributor's batch. Without a record of the IMEI, it's your word against theirs, and they're a good customer.

Then a new salesperson quotes the stockist price to a walk-in customer. And at the end of the month, the branch count is two TVs short of what the warehouse says it sent.

That's a normal month in electronics wholesale if your records live in notebooks and spreadsheets.

The short answer: an electronics wholesaler needs a POS that records every unit by serial or IMEI from delivery to sale, applies the right price level to each customer automatically, keeps credit accounts with limits, receives supplier deliveries against the order, and tracks every warehouse and branch with confirmed transfers. EliteTeQ does this from USD 499 per year and keeps invoicing when the network drops.

Every unit, by serial or IMEI

This is what separates an electronics system from a general one.

When stock arrives, each phone's IMEI and each TV, laptop or sound system's serial number is recorded. When it sells, the serial is tied to the invoice and the customer. One search then shows when a unit was sold, to whom, and whether it's still under warranty.

That settles the warranty argument above in seconds. It also means a unit that leaves the building without a sale stands out, because its serial is still showing as in stock.

When a unit is faulty, it goes back to the supplier as a return against its serial. The replacement is received against the claim, so stock, the supplier balance and the swap all stay on record.

The right price for each customer

Wholesale pricing is messy by nature. The same model sells at one price to a retailer, another to a stockist and another to a walk-in.

In EliteTeQ you give each customer a price level, and the right price applies at checkout. Only the roles you choose can override it, and every override is logged. Your newest salesperson can't give away the stockist price, and if a manager does it for a good reason, there's a record.

Accessories and smaller lines often sell by the carton, the dozen and the piece. Each unit has its own price from one stock record, and a carton broken into pieces converts automatically, so the count stays right however it sells.

When a price changes, you change it once and it's live on every till in every branch.

Credit accounts that don't drift

Most wholesale money is owed money. Each credit customer has an account with a limit, which is checked on every invoice. Purchases build a running balance with due dates, and statements go out on WhatsApp.

For bigger orders, deposits and part payments are recorded against the order, with the balance due always visible. No more "I paid half last week" disputes with nothing written down.

Deliveries received against the order

Raise purchase orders to your suppliers, then receive each delivery against the order. If the shipment comes in short, or a different model has been substituted, it's recorded before the stock goes up. Supplier balances stay correct, and damaged goods go back on record.

Warehouses, branches and stock that moves

Every warehouse and branch is its own location in EliteTeQ. Stock moved between them is recorded when it leaves and confirmed when it arrives. If the warehouse sent ten TVs and the branch received eight, you know on the day, not at the next stock-take.

You can check every location from your phone, which is useful when you're at the port, the airport or a supplier's showroom.

Stock that sits too long

Electronics lose value quickly. When a new model lands, last year's version gets harder to sell every week.

Every serial carries the date it arrived, so the units that have been sitting longest show up by model and branch while they can still sell well. Margin by product, category and branch shows which lines are worth pushing. Cables, mounts and covers are kept by the device they fit, with low-stock alerts, so the right accessory is on the shelf when the TV sells.

Practical points

  • Offline: if the network goes down, you keep invoicing and everything syncs when it's back.
  • Payments: EliteTeQ records DuitNow, bank transfer, card and cash against each sale, and keeps sales records ready for RMCD. In Kenya, M-Pesa is integrated directly.
  • Staff: each person has a login and a role, and price changes, discounts and voids are logged with a name and a time.
  • Setup: setup and product import are free, including your existing stock list.
