How to Choose the Right POS Software in Malaysia: A Step-by-Step Guide

The salesperson's demo was perfect. Everything was fast, the screens were clean, the reports were lovely. Three weeks after going live, the internet drops on a Saturday afternoon, the queue reaches the door, and your cashier is writing sales on the back of a receipt roll.

Most POS regrets come from buying the demo instead of the system. This guide is about avoiding that.

The quick answer: choose POS software by matching it to how your business actually runs. Write down what you need, test the things that matter in Malaysia (offline selling, DuitNow and your tax rules), add up the full cost over a few years, and let a real member of staff try it before you sign. The right system is the one your team can use on a busy day without calling you over.

Step 1: Write down how your business actually works

Most buying mistakes happen before you've seen a single product. People compare feature lists before they know what they need, then pay for a system they half use.

Take ten minutes and answer these honestly:

  • What do you sell, and how? Over a counter, at tables, by appointment, in bulk to wholesale buyers, or a mix?
  • How many products? A kiosk with a few dozen lines and a supermarket with thousands need very different things.
  • One location or several? If a second branch is likely in the next year or two, include it now.
  • Who sells? Just you, or staff on shifts who need their own logins?
  • How do customers pay? Cash, card, DuitNow, credit for regular buyers?
  • What goes wrong today? Stock that doesn't match, slow queues, no idea what sold where?

That list is your scorecard. Every system either fits it or doesn't.

Step 2: Separate must-haves from nice-to-haves

Vendors love long feature lists. Your job is to work out which features you'll use in the first week, and which just sound good.

Must-haves for almost every business:

  • Quick, dependable checkout
  • Stock that updates as you sell
  • Separate logins with roles, so a cashier can't void sales or see your margins
  • An audit log of who did what
  • Reports you can read on your phone
  • Selling that carries on when the internet or power goes off

Useful as you grow:

  • Purchase orders and supplier records
  • Transfers between branches, with one view of every location
  • Damages and returns recorded with a reason
  • Expiry tracking, if you sell food, drinks, medicine or cosmetics

If an impressive feature doesn't map to something on your scorecard, leave it out of the comparison.

Step 3: Test offline selling and local payments first

This is where many systems quietly fall short. Don't take a yes on trust. Ask the vendor to show you, live:

  • Selling with the connection switched off, then switching it back on and watching the sales sync.
  • Recording a DuitNow payment from start to finish.
  • Splitting a payment across cash and DuitNow on one sale.
  • A refund and a void, and where they appear in the log.

  • Watch how long each sale takes. A few seconds of hesitation per customer becomes a long queue at month end, when salaries land.

  • Use the device you'll really use, whether that's a tablet, a phone or a laptop on the counter.

If it confuses you in a quiet room, it will be chaos on a Saturday afternoon.

Step 6: Check support, tax and room to grow

You want a system that still fits in three years.

  • Support. Is help available in your working hours and your language? Can you reach a real person on the phone or WhatsApp? Is it included or billed per call?
  • Tax. Ask how the system handles your tax rates and receipts, and what it does about RMCD requirements in Malaysia. Get a specific answer, not a general reassurance.
  • Growth. What changes, and what does it cost, when you add a till, a branch or a few thousand more products?

Then speak to two or three owners already using it, ideally in a business like yours. Ask what went wrong, how support handled it, and what they wish they'd known.

Check you've actually done these, not just thought about them:

  • Written down how your business works and what's going wrong today
  • Split must-haves from nice-to-haves
  • Watched it sell offline and record a DuitNow payment
  • Added up the full cost over a few years
  • Let a real staff member use it on real sales
  • Got clear answers on support, tax and growth
  • Spoken to current users
