# How to choose a POS without regretting it.

**Seven things to check, and the questions to ask any vendor, including us.**

Most people choose a POS from a demo that looks good on fast Wi-Fi with ten sample products. The problems show up later: a till that freezes when the network drops, payments that don’t match the bank, tax reports that need retyping. This guide is the checklist we would use ourselves in Hong Kong.

- Test it offline
- Check how payments are recorded
- Ask for real tax reports
- Compare the yearly cost

## How to run a fair comparison

1. **Write down your three biggest problems** — Missing stock, a slow queue, no idea of profit by branch: whatever costs you most. Judge every system on those first.
2. **Shortlist two or three systems** — Include at least one that is used locally, so you can compare how each handles the payments and tax rules where you trade.
3. **Demo with your own products** — Ask each vendor to load a sample of your real products, then ring up sales, a return and a stock transfer yourself, including with the internet switched off.
4. **Compare the full yearly cost** — Add up subscription, setup, hardware, extra users and branches, and support for a full year, and get it in writing before you decide.

## How do I choose a POS system in Hong Kong?

Start with the problems you need to solve, then check that the POS keeps selling offline, records the way your customers pay against each sale, keeps tax reports ready for IRD, tracks stock by branch, and has a total yearly cost you can see in writing.

- Offline selling
- Payments recorded against each sale
- Tax reports ready to file
- Total yearly cost, not the starting price

## What to check, and what good looks like

### Offline: switch the Wi-Fi off and keep selling

A good POS keeps ringing up sales and counting stock with no connection, then syncs on its own. Test this in the demo, not after you’ve paid.

- Sales continue with no internet
- Stock still updates on the till
- Everything syncs when back online

### Payments: every method lands on the right sale

Customers in Hong Kong pay with Octopus, FPS, PayMe, AlipayHK, cards and cash. Ask how each one is recorded against the sale, and whether the day’s totals by payment method add up without a spreadsheet.

- Each payment tied to a sale
- Split payments allowed
- Daily totals by method

### Tax and records: ask to see the actual report

It should calculate VAT or sales tax on every sale and keep reports ready to file with IRD.

- Tax on every sale
- Reports you can file from
- Records kept when offline

### Cost: compare the year, not the first month

A low starting price can hide charges for extra users, branches, hardware or support. Put every system’s full-year cost side by side. EliteTeQ is USD 499 per year.

- Subscription and setup
- Extra users and branches
- Hardware and support

## Questions that separate a good POS from a bad one

| A weak answer | A good answer |
|---|---|
| “It needs internet to work” | Keeps selling offline and syncs later |
| “Payments are in a separate report” | Every payment tied to its sale |
| “You can export tax data and adjust it” | Tax reports ready to file |
| “Branches are on a higher plan, ask sales” | Branch pricing in writing upfront |
| “Support is by email ticket” | A named channel and a real person |

## Questions owners ask us

**What questions should I ask a POS vendor?**

Ask what happens when the internet drops, how each payment method is tied to a sale, to see a real tax report, what extra users and branches cost, how support works, and whether you can export all your data if you leave.

**How much should a POS cost?**

Compare the full-year cost, including setup, extra users, branches, hardware and support. EliteTeQ is USD 499 per year, with a free demo first.

**Do I own my data?**

You should. Before you sign, check that you can export your sales, products and customers. EliteTeQ reports export to PDF, Excel and CSV.

**How does EliteTeQ compare with other POS systems in Hong Kong?**

We have written side-by-side comparisons with Lightspeed POS, Square POS, Toast POS, using each provider’s own published information. You’ll find them on our POS comparisons page for Hong Kong, and each one says plainly when the other system is the better fit.

**Is it fair for a POS company to write a buying guide?**

Only if the checklist works on its own. Use it on every system you look at, including ours, and choose whichever passes it best for your business.

## Put us through the checklist.
